We are looking for a talented Receptionist and Order Entry Specialist to provide personalized administrative support in a well-organized and timely manner, and to provide first-class customer service to internal and external customers.
In this role you will enjoy the challenge of thinking on your feet, making decisions quickly and efficiently with little supervision.
You will also serve a first point of contact for visitors at the front desk.
Receiving and sorting daily mail, organizing and coordinating our visitors calendar, answering and screening phone calls and directing inquiries to the proper party within the team.
Collaborate with the team and assist in the coordination of site events, hosting of the site’s VIP visitors and customers.
You will be the front-line support for domestic and all international inquiries, orders and/or problems with customers, entering and confirming sales orders using ERP system in a timely manner, per customers’ purchase orders, specifications, ISO procedures, Watson Marlow Terms and Conditions of Sale, etc.
In this role you will also prepare quotes on pricing, availability, and estimated shipping cost with support from other departments, provide customers tracking information for their orders, and research and acknowledge customer inquiries to resolve issues in a punctual manner.
Print picking lists to shipping department, review shipped orders for accuracy, issue invoices and email them to customers, and other duties as assigned by manager

You are organized, methodical, and approachable with effective communication skills and outstanding attention to detail.
Must have a strong commitment to site excellence.
Focused on delivering results with strong diligence, with ability to work in a fast-paced environment with tight deadlines.
Function as the point of contact between the executives and internal/external clients
Undertake the tasks of receiving calls, take messages and routing correspondence.
Handle requests and queries appropriately and prepare routine documents.
Maintain schedules/calendars, arrange meetings and appointments, and provide reminders.
Make travel arrangements
Produce reports, presentations, and briefs, and able to understand written procedures.
Develop and implement an efficient documentation and filing system electronically.
Education/ Experience
High School Diploma / GED.
Professionally qualified is desirable but not essential.
At least 2 yrs.
experience in a process-oriented production environment as Customer Support.
Must be a proficient typist, at least 40 wpm, while talking on the phone.
Direct experience with Microsoft Dynamics ERP system is a plus.
